What a contractor sign-in system does

Contractors often work unattended, so signing them in has to be more than a name in a book. A contractor sign-in system checks that the person — and their company — meets your site's requirements every time they arrive: inductions current, licences and permits valid, insurances in place. VisitorRego holds those requirements against each person and company, checks them at every sign-in, and flags anything missing or expired before they're through the gate.

How it works

1

Invite them before they arrive

Send an onboarding invite: the contractor uploads their own licences and insurance, completes your requirements and reads your site information — before day one.

2

Checked at every sign-in

Every sign-in — on a kiosk, by QR code or on their own phone — checks their requirements. Anything missing or expired is flagged on the spot and your team is alerted.

3

Accounted for on site

They’re on your live on-site and evacuation list until they leave, with their time on site recorded.

Contractor checks that actually happen

Checked every single time

Requirements are re-checked automatically at each sign-in — a lapse is caught at the door, not after an incident.

Requirements follow the person

Inductions, permits, licences and insurances are held against the individual — captured once, carried to every visit and every site.

Prove it once for the whole company

A contractor firm proves its insurance and clearances once, and every one of its workers inherits them.

Certified, not just claimed

An uploaded certificate only counts once one of your people has checked and certified it.

Make it mandatory

Mark a requirement as mandatory and anyone who signs in without it is flagged on the spot — and your team is alerted.

Renewals ahead of time

Expiry reporting shows what’s about to lapse, so renewals happen before the near miss, not after.

Your duty covers contractors too

When businesses share a site, the law expects them to consult, cooperate and coordinate — under New Zealand's Health and Safety at Work Act and Australia's WHS laws alike. A contractor sign-in system gives you the evidence when it matters: who was on site, what they were inducted on, and which licences and insurances were valid on the day.

Contractor sign-in questions

What can we check contractors for?

Anything with an expiry date: site inductions, trade licences, permits, insurances, immunisations and background checks — and in Australia, White Cards and high-risk work licences.

What happens if something has expired?

The contractor is flagged the moment they sign in and your team is alerted, so the decision is made before work starts — not after an incident.

Who uploads the paperwork?

The contractor does, through an onboarding invite, and one of your people certifies each document before it counts. A contractor company proves its insurance once and every worker inherits it.

Do contractors need an app?

No. They sign in on your kiosk or scan your QR code with their phone’s camera. Regular contractors can keep a pass on their phone so signing in takes seconds.

Can we track contractor hours?

Every sign-in records time on site, and with Time & Attendance you also get timesheets and payroll-ready exports.
